CyberDental Group LLC ("CyberDental") believes in earning your business every month. We do not lock you into long-term contracts, and cancelling your subscription is straightforward. This policy explains how cancellation works, what happens to your data, and how to reactivate if you change your mind.
1. No Long-Term Contracts
All CyberDental managed IT service plans operate on a month-to-month basis. There are no annual commitments, early termination fees, or cancellation penalties unless you have entered into a separate written agreement that specifies otherwise (such as a discounted multi-year plan).
You are free to cancel at any time, for any reason, without owing anything beyond your current billing cycle.
2. How to Cancel
You may cancel your CyberDental subscription through any of the following methods:
- Email: Send a cancellation request to support@cyberdentalgroup.com with the subject line "Cancellation Request – [Your Practice Name]." Include the account holder name and the email associated with your account.
- Phone: Call (954) 639-7049 during business hours and request cancellation. We will confirm via email within 24 hours.
- Client Portal: Log into your CyberDental dashboard and navigate to Settings → Subscription → Cancel Plan. Follow the prompts to confirm.
We do not require you to call to cancel. Written requests via email are fully honored. We will never attempt to make the cancellation process difficult or inconvenient.
3. Effective Date
Cancellations take effect at the end of your current billing cycle. For example, if you cancel on the 15th and your billing cycle renews on the 1st, you will continue to receive services through the end of that month. No prorated refund is issued for partial months remaining in the current cycle.
Upon cancellation:
- All recurring billing will cease after the current cycle ends.
- Remote monitoring and management agents will be scheduled for removal from your systems.
- Access to the CyberDental client portal will remain available in read-only mode for 30 days to allow you to export reports and documentation.
- Any pending support tickets will be resolved or transitioned to your new provider during the cancellation period.
4. Data Retention After Cancellation
We handle your data with care, even after cancellation:
- Account Data: Your account records, billing history, and support ticket history are retained for 90 days after cancellation. During this period, you may request a full data export.
- Backup Data: If you utilized our cloud backup services, backup data is retained for 30 days after cancellation to allow for data retrieval. After 30 days, all backup data is permanently deleted.
- Monitoring Data: System monitoring logs and performance data are deleted within 14 days of cancellation.
- Permanent Deletion: After the retention periods above, all data associated with your account is permanently and irreversibly deleted from our systems. We cannot recover data after this point.
If you require an expedited data deletion (e.g., for compliance reasons), contact us and we will accommodate your request within 5 business days.
5. Reactivation
Changed your mind? We make reactivation easy:
- Within 90 days: Your account can be reactivated with all previous settings, configurations, and history intact. Simply email us or call to request reactivation. No setup fees apply.
- After 90 days: Reactivation is treated as a new subscription. A brief onboarding process will be required to re-establish monitoring and management on your systems. Standard onboarding procedures apply, and there is no setup fee.
- Special Offers: Returning clients may be eligible for loyalty pricing or promotional offers. Ask our team about current reactivation incentives.
